Oversight & Compliance

Sketch of a produce warehouse floor seen from a mezzanine: a manager at the railing overlooking perfectly ordered rows of stacked pallets

Every action lands on an attributed, timestamped record. Every role sees exactly what its job needs and nothing more. When a question comes, from a customer, an auditor, or your own gut, the answer is on the record.

01 · The record

Every action, signed and timed.

Purchase orders, sales orders, and invoices each keep a human-readable log of every action taken on them: who did it, when, and what changed, from created to confirmed to reviewed. Type any document number and walk its complete history. Disputes end with a timestamp, not an argument.

Replaces: “who changed this price?” with no answer

Vona's activity timeline on a sales order: created, confirmed, and reviewed, each entry attributed to a person with a timestamp

02 · Roles

Each role sees exactly enough.

Built-in roles run from the owner to the money desk, each scoped to its job: warehouse staff never see cost, drivers see only their deliveries, accounting works payments without warehouse powers. Permissions are granted per person on top of the role, and every login belongs to one named person.

Replaces: one shared login for the whole office

Vona's built-in roles, from owner to accounting, each with its own scoped permissions and user count

03 · Module access

Owners decide who opens what.

One matrix decides which parts of Vona each role can even see, managed by the owner, with per-user overrides when one person needs more or less than their role. Access is deliberate, visible, and reversible, and removing a person ends theirs immediately.

Replaces: hoping nobody clicks into what they shouldn't

Vona's role-defaults matrix: each role's access to each module set by the owner from one grid

And underneath it, the guarantees.

A database per company

Your data lives in its own dedicated database. Isolation by architecture, not by filters.

Documents keep their identity

Every invoice, BOL, purchase order, and pallet number is permanent. Traceability never reshuffles.

Recovery with receipts

Deletes and resets demand a typed reason and leave a full snapshot in the audit log. No silent erasures.
